1. Administration of user accounts

1.1. Managing accounts

  • Select Administration module, NEXThink Portal Management, dashboard Accounts to open the user account administration

  • The Accounts Management window allows administrators to create, edit or delete accounts.

  • When many accounts are defined, the search tool permits to quickly find an account using its name, domains or roles. On the top-right corner a filter permits to limit the view to accounts created by all administrators with same rights or to display all accounts that the administrator could view (i.e., also the ones created in domains lower than his)
  • To Add account, click the icon portal_add_icon.png on toolbox.

  • To Delete account(s), first select the accounts to delete (multiples choice allowed) and click the icon portal_delete_icon.png on the toolbox. Note that the default "admin" account cannot be deleted.

  • To Edit account, first select one or more accounts to edit and click the icon portal_edit_icon.png on toolbox. Note that for the default "admin" account only the password can be edited, which is a good practice to prevent anybody to use it, and he could not be edited with other accounts.

1.2. Creating a new user

  • Click Add account in Accounts Management window to create a new user.

  • First step
    • Username is the name used to sign in

    • Full name is the name of the account, indicated in Portal window during the session.

    • Email is the contact address of the account

    • Password for first sign in. It is recommended that user changes it after the first sign in. in the menu Preferences.

    • Profile is the profile on which the account is based. The profile defines the type of account and the domains associated. If the profile uses the parameter option to define domains, the list of nodes to fill appears. It is possible that only one domain needs a node, others are fully described, these domains are not displayed.

  • Second step
    • Additional roles correspond to roles specific to user created. In addition of roles defined in the profiles, these roles permits to personalize content of the user

  • Change password
    • Once logged, the user can change its password using the Preferences menu.

    • In the dialog, the user can modify its password and also its email address. For advanced usage, he can modify its CSV preferences to define the format of exported files

1.3. Editing user

It is possible to edit one or more accounts on same time. If only one account is selected then the edition is similar to creation. But when multiple accounts are selected then the dialog is filled with common information.

Some information like personal information (name, password..) are not common, they are displayed with the special [multiple] value and personal information are disabled. Then if an information is common to all selected accounts (like the profile in the picture below) it is displayed normally.

All fields with [multiple] are ignored when edition is validated, other are assigned to all selected accounts.

A such edition is useful to set multiple accounts on the same profile or set the same additional roles.

For administrators with user creation right, the edition is similar to the creation but for administrators without this right, a special dialog is available. Only the additional content could be edited.
